1. Acceptance
By creating an account, connecting a portal or mailbox, paying a fee, or otherwise using Shop Bots, you agree to these Terms of Service and the Privacy Policy. If you use Shop Bots for a shop, you represent that you have authority to bind that business. “You” means that business and the people it allows onto the account.
2. Eligibility
Shop Bots is for businesses only. It is a back office for collision repair shops, not a consumer product. You may use it only for a shop you own or are authorized to run. Do not create an account for personal, household, or family use. You must be able to enter a binding contract.
3. Accounts and staff seats
A shop starts with an account. Sign-in is email and password, an email sign-in link, or Google when that option is turned on. The owner sets up the shop and can invite people as owner, manager, or staff. Each invited person is a seat on that shop.
You are responsible for who you invite, for the roles you give them, and for activity under those seats. Keep passwords confidential. Tell us at hello@getshopbots.com if you believe an account is being misused. An owner controls the shop profile, invites, and checkout. Staff can use the desk. An owner or manager can connect a portal.
4. Your logins and portal terms
You may connect sources the product offers. Today that includes the shop’s own CCC ONE login, the shop’s own Tesla repair-procedure login, and I-CAR RTS. Other portals may be listed before a connection is available. You may also connect a shop mailbox with an IMAP app password or by forwarding mail to the shop’s Shop Bots address. Gmail and Outlook sign-in may be offered later, after the provider app is verified. You may upload documents to the shop’s knowledge library.
Connecting a login authorizes Shop Bots to use that login on the shop’s behalf. You confirm the account is the shop’s. You are responsible for complying with the terms of each portal, OEM, insurer, training site, and mailbox provider, including any rule about automated access.
Portal access is read-only and runs at a human pace. Shop Bots reads information. It does not submit, edit, upload, or send anything inside the portal. If a portal asks for a code or shows a challenge a person must answer, the run waits for someone at the shop.
The connect screen asks the shop to accept this acknowledgement:

A mailbox connection is for reading and drafting. Shop Bots does not send mail or texts. A draft stays a draft until a person at the shop sends it. The mailbox acknowledgement is:

Shop Bots locks the app password away and does not show it again. It does not send mail. The note stays a draft until a person at the shop sends it.
Portal passwords and mailbox app passwords are encrypted before they are stored. The app does not show them again.
5. Acceptable use
You will not:
- break the law, or break a portal, OEM, insurer, or mailbox provider’s terms
- use a login that is not the shop’s, or access another shop’s data
- upload material you do not have the right to store
- share, republish, or reuse another shop’s OEM or I-CAR text
- probe, scrape, overload, or disrupt Shop Bots, or try to extract stored credentials
- present a draft as sent when a person at the shop has not reviewed it
- use Shop Bots to send spam, or to resell the service
We may suspend the shop if we reasonably believe these rules have been broken.
6. AI drafts
CEO Assistant, Claims Desk, and Follow Ups draft text from the shop profile, documents, connected records, and the notes you give them. The model is provided by xAI. An output is a draft. A person at the shop must review it before anyone relies on it or sends it. Shop Bots does not email or text an insurer or a customer on its own.
Drafts are not professional, legal, or insurance advice, and they are not an estimate. There is no guarantee of any estimate, supplement, or claim outcome. The shop is responsible for what it sends and for decisions about a repair or a claim.
7. Fees, billing, and cancellation
Pricing has three parts, and the amounts are shown in the app before checkout. The marketing site does not list prices.
- A one-time setup fee when a bot is opened for the shop.
- A monthly fee for each bot you turn on.
- Usage past the AI allowance included with an active bot. Past the allowance, extra usage can be billed as overage through Stripe when an overage amount is configured.
You pay in US dollars through Stripe, using the payment method you provide. You authorize those charges. Applicable taxes are your responsibility, other than taxes on our net income. If a tax must be collected, it will appear on the invoice.
If a payment fails, the shop may be marked past due. A past-due or suspended shop can still open the desk, but the bots are read-only until the card is updated and the balance is paid. We may suspend the shop for non-payment.
You may cancel a subscription in the Stripe billing portal. Cancellation takes effect at the end of the current billing period. Access continues through that date. The setup fee is not refundable. Fees for a period that has already started are not refunded, except where the law requires a refund.
8. Your data
You own the shop data you submit, including the shop profile, vehicles, claim and customer information, emails from a mailbox you connect, and files you upload. You grant Shop Bots a limited license to host, copy, and process that data only to provide, secure, and support the service, and to meet legal duties.
We do not sell that data. We do not use one shop’s data to train an AI model for another shop. The Privacy Policy describes what is collected and how to ask for deletion.
9. Confidentiality
Each party will use reasonable care to protect the other party’s non-public information and will use it only to perform under these terms. This duty does not cover information that is public, that the receiving party already knew without a duty to keep it quiet, or that the receiving party developed independently. A party may disclose information if the law requires it, and will give notice when the law allows.
10. Third-party services
Shop Bots depends on other companies to run. Supabase stores the database, accounts, and uploaded files. Vercel hosts the application. xAI writes the AI drafts. Stripe handles payments. Resend delivers shop mail to the service and sends staff email such as invites. Portal sites, mailbox providers, and Google sign-in are also outside our control. If one of them fails or changes its terms, the related feature may stop. Your use of a portal or mailbox is also subject to that provider’s terms.
11. Suspension and termination
We may suspend or close a shop if you do not pay, if you break these terms, if we need to protect the service or another shop, or if we stop offering Shop Bots. You may stop using the service and cancel as described above. After the account ends, we delete or return shop data as the Privacy Policy describes, except for records we must keep, such as invoices.
12. Warranty disclaimer
The service is provided “as is” and “as available.” Shop Bots disclaims warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted or error-free, or that a draft will be accurate or complete. There is no guarantee of any estimate or claim outcome. Some states do not allow certain disclaimers, so parts of this section may not apply to you.
13. Limitation of liability
To the fullest extent the law allows, Shop Bots is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or a lost or reduced claim, even if we knew they were possible.
Our total liability for claims arising out of the service is capped at the fees you paid us for Shop Bots in the 12 months before the claim. This cap does not limit liability that Maryland law does not allow us to limit, including liability for fraud or willful misconduct.
14. Indemnification
You will defend Shop Bots and the people who operate it against a third-party claim, and pay the damages and reasonable legal costs awarded on that claim, to the extent it arises from your shop data, your use of the service, a message or claim decision the shop sends or makes, your breach of these terms, or a claim that the shop’s connection to a portal, OEM site, insurer system, or mailbox violated that third party’s terms. We will give you notice of the claim when it is practical to do so.
15. Changes
We may update these terms. When we do, we will change the “Last updated” date. For a material change, we will also give notice by email or in the product. If you keep using Shop Bots after the new terms take effect, you accept them. If you do not agree, cancel before they take effect.
16. Governing law
These terms are governed by the laws of the State of Maryland, without regard to conflict-of-law rules. The state and federal courts located in Maryland are the venue for a dispute arising out of these terms or the service, and each party consents to that venue. Either party may still ask a court for injunctive relief to protect confidential information.
